## Information we collect

When you contact PMI, we may receive your name, company, email address, telephone number, preferred contact method, site location and country, together with the machine, component, fault, project, timing and other information you choose to provide. A product enquiry can include a product identifier, brand, part number and requested quantity.

You can submit an enquiry through the website or contact PMI by email or telephone. Website attachment uploads are not currently available. Do not send passwords, licence keys, remote\-access credentials, unnecessary finance files, special\-category information or other information that is not needed for the enquiry.

For an order or quotation, we may also need billing and delivery details, order and payment status, products, prices, tax, delivery, returns and warranty records, and communications about the transaction. Card details are handled by the enabled payment/checkout provider and are not intended to be stored in PMI's editorial content system.

The website and hosting service may process technical request information needed to deliver and protect the service, such as date and time, requested page, browser/device information and network identifiers. Enquiry abuse controls and operational diagnostics use limited technical information; enquiry contents and contact details are not included in website analytics or application diagnostics.

## Why we use personal information

Our lawful basis for optional website analytics and Google Ads purchase measurement is your consent. You can choose analytics alone or analytics with Ads measurement. These choices are separate from email marketing consent and are not a condition of receiving our services.

We use enquiry and contact information to assess and respond to a request, prepare a quotation, take steps requested before a contract, and perform an agreed contract. The usual lawful basis is that the processing is necessary to take steps at your request or perform a contract. Where a contact acts for a company, we may also rely on our legitimate interests in communicating with that organisation and administering genuine business enquiries.

We use transaction, tax, safety, product and dispute records where necessary to meet legal obligations and to establish, exercise or defend legal claims. We use proportionate technical logs, access controls and abuse\-prevention records for our legitimate interests in securing the website, preventing misuse and maintaining reliable services.

PMI does not currently operate a marketing newsletter through this website. If email marketing is introduced, it will use a separate optional unticked opt\-in and will automatically enrol only contacts who actively choose it. Every marketing email will provide an unsubscribe route, and service and order communications will remain separate. An ordinary enquiry or order is not marketing consent. We do not use enquiry or order information for solely automated decisions with legal or similarly significant effects.

## Service providers and disclosures

Where you accept optional analytics, we use Google Analytics to understand public\-page use, product searches, product browsing, cart actions, checkout handoffs and phone or email link clicks. Site\-search measurement records the terms entered in product searches. Please do not enter personal or confidential information in product\-search boxes. PMI's shopping and enquiry events use catalogue identifiers, quantities and available net product values without including enquiry contents, customer contact details, attachment details or staff\-page information. Campaign labels are limited and checked before collection; referring websites are recorded without their paths or query strings. A checkout handoff is not recorded as a paid purchase, and a contact click does not confirm an enquiry or job. Successful website submissions are counted without their contents. If you also accept Ads measurement, we use Google Analytics and the linked Google Ads account to measure verified paid online orders and their advertising attribution. Purchase events contain an order reference, product and variant identifiers, quantities, discounted product values excluding tax and delivery, currency, and separate tax and delivery amounts. They do not contain names, email addresses, delivery addresses, telephone numbers or payment\-card details. Personalised advertising remains disabled.

PMI uses Vercel to host the website, Sanity to provide public editorial content, BigCommerce for the selected product catalogue and any enabled hosted checkout, and Google Workspace for business email. Confidential customer enquiry and order information must not be entered into Sanity. A checkout provider may collect information under its own notices when you leave PMI for an enabled hosted checkout.

The website sends enquiries through Resend to pmi\-enquiries@precisionmachineindustries.com for PMI to handle in its business mailbox. Resend processes the information needed to send those messages and, where an email address is supplied, a brief acknowledgement. The website does not create a separate enquiry database or staff inbox. Email messages are processed by the sending provider and retained in business correspondence; this is not a claim that no information is stored. Resend sends from its Ireland region but stores message content and delivery records in the United States under its applicable data\-processing and transfer terms. These services do not enrol you in marketing. Website attachment uploads remain unavailable; requested photos or PDFs can be sent separately by email.

We may disclose information to professional advisers, insurers, payment and delivery providers, specialist subcontractors, regulators or law\-enforcement bodies where necessary and lawful. We do not sell personal information. We share only what is needed for the relevant purpose.

## International transfers

Google Analytics and Google Ads measurement are provided under Google's applicable service and data\-processing terms. Google and its subprocessors can process measurement information outside the United Kingdom and European Economic Area. Google's data\-processing terms provide for applicable adequacy arrangements and standard contractual clauses, including UK transfer provisions where required. You can read those terms at https://business.safety.google/adsprocessorterms/ and contact PMI for information about the safeguards relevant to your data.

Our business email and website technology providers can process information outside the United Kingdom and European Economic Area, including in the United States. Google Workspace's published data\-processing terms provide for international processing and use of applicable adequacy arrangements or standard contractual clauses for restricted transfers. The applicable mechanism depends on the provider, destination and service. You may contact PMI for details of the countries and safeguards relevant to your information and how to obtain a copy. We do not promise that all information stays in the United Kingdom. Any new customer\-data service will be checked for appropriate contractual and transfer safeguards before activation.

Customers and contacts in the Republic of Ireland may also have rights under EU data\-protection law where it applies. Nothing in this notice limits a right that applies under mandatory data\-protection law.

## How long we keep information

Our Google Analytics property is configured to retain event\-level data for 2 months and user\-level data for 14 months. The user\-data retention period resets when that user has new recorded activity. These controls do not apply to most standard reports based on aggregated data, which can remain available for longer. Google applies its retention and deletion processing schedules. These server\-side settings are separate from the 180\-day browser\-cookie and consent\-preference periods described below.

We normally keep an unsuccessful enquiry or quotation for 24 months after it closes. We normally keep necessary order, invoice and job records for 6 years after the latest relevant tax\-year end, final accounting entry or job completion. A longer legal requirement or a justified hold for a warranty, safety issue, dispute, fraud investigation or legal claim takes precedence while needed.

Routine enquiry attachments are normally deleted 6 months after the enquiry closes unless they are needed as contract, warranty or dispute evidence. Routine security logs are normally kept for 90 days. Minimal records needed to document a privacy request and PMI's response are normally kept for 3 years after resolution. PMI will review retention monthly and delete or anonymise information when no longer needed.

The periods above apply to information held in business correspondence, quotation, accounting and job records. Email attachments are handled as business correspondence and are not deleted by a website cleanup job. New website enquiries have no separate website archive. Information retained from the earlier website enquiry system remains subject to its retention arrangements until its approved disposal is completed; removing website access does not itself delete those records. Sending\-provider records, mailbox copies and provider\-controlled backups have separate retention and deletion arrangements. Contact PMI for the handling relevant to your information; deletion from active records does not promise immediate erasure from every backup.

## Your data\-protection rights

Depending on the circumstances, you may ask for access to your personal information, correction, deletion, restriction, objection or portability. You have an absolute right to object to direct marketing. Where processing relies on consent, you may withdraw it without affecting earlier lawful processing. Email pmi\-enquiries@precisionmachineindustries.com with enough information to identify the request; PMI may need to verify identity and authority before disclosing or changing information.

Rights are not absolute and can depend on the lawful basis, legal duties and the information involved. PMI will explain if a request cannot be fulfilled in full. You may complain to the UK Information Commissioner's Office at ico.org.uk. If EU data\-protection law applies, you may also have the right to complain to the supervisory authority where you live or work, including Ireland's Data Protection Commission at dataprotection.ie.

## Cookies and local browser storage

Cart selections are stored in local browser storage so they can remain on the same browser. When you choose Continue to checkout, the product and variant identifiers and quantities in the cart are sent to PMI's cart service for validation and creation of a secure hosted checkout. You can remove cart entries or clear site data in your browser.

With your permission, PMI uses Google Analytics to understand public\-page use, product searches and shopping interactions. Analytics can process a browser identifier, public page views, the terms entered in product searches, approved campaign labels, product identifiers, cart interactions and technical browser/device information. Product\-search terms are sent to Google Analytics, so please do not enter personal or confidential information in product\-search boxes.

Automatic scroll\-depth, general outbound\-link, form\-interaction, video\-engagement and file\-download measurement is not currently active. PMI separately counts phone and email link clicks and successful website enquiry submissions without collecting enquiry contents. A contact click is not a completed enquiry or job, and a checkout handoff is not a paid purchase. Paid\-order measurement requires your separate Ads\-measurement choice and a server check of successful payment. Pending, failed and unsupported payments, and orders identified as tests, are not reported as paid purchases. Browser tracking can miss an order if the confirmation page does not load, consent is absent or tracking is blocked.

PMI does not load Google Analytics or send analytics information to Google unless you accept analytics. The \_ga cookie helps distinguish browsers, and the \_ga\_LWJNYSRTW7 cookie maintains session state. Both are optional analytics cookies. Accepting analytics alone leaves advertising permissions denied. Accepting analytics with Ads measurement allows advertising storage and advertising measurement use of your data, including permitted advertising click identifiers; it does not allow personalised advertising. Where created by Google's tag, advertising\-measurement identifiers may use \_gcl\-prefixed cookies or \_gcl\_ls browser storage.

You can choose analytics alone, analytics with Ads measurement, or reject optional cookies without affecting browsing, enquiries or purchases, and change your choice through Cookie settings. On PMI's main website, we store your preference in your browser for up to 180 days. Our Google Analytics cookies are also configured to expire after up to 180 days without automatic renewal. Withdrawing permission stops subsequent collection for that purpose on this browser and removes the website's readable Google identifiers for the withdrawn purpose. If your browser prevents a choice being saved, we explain this and ask you to clear site data before reloading or returning. Withdrawal does not automatically delete information already collected; contact pmi\-enquiries@precisionmachineindustries.com about that information.

Enquiry values are held in the current page's memory while you complete the form or retry a send; they are not saved as browser history for later recovery. Refreshing or closing the page can lose those values. Protected editorial preview can use strictly necessary authentication and preview cookies.

BigCommerce's hosted checkout and order\-confirmation pages have separate cookie choices. Use Manage cookie preferences on those pages to choose Yes or No for Functional, Analytics and Targeting/Advertising measurement, then save your preferences. Essential cookies support checkout, security and remembering your choices. Rejecting optional categories does not prevent a purchase. The tracking\-preferences cookie remembers these BigCommerce choices for up to 730 days after they are saved. BigCommerce also uses its own consent record to apply the choices to its scripts. These choices are separate from the settings on PMI's main website.

Optional paid\-order measurement requires your Analytics \+ Ads measurement choice on PMI and your Advertising measurement choice in BigCommerce. Analytics consent alone does not enable advertising measurement. You can change the settings on each website where you made the choice. Withdrawing advertising permission in BigCommerce prevents subsequent optional confirmation tracking; use Cookie settings on PMI to change PMI's measurement permissions and remove its readable Google identifiers for the withdrawn purpose. Personalised advertising remains disabled.

When you permit Ads measurement before checkout, PMI stores a short\-lived signed checkout reference in this browser tab. After checkout, a brief return to PMI checks your current permissions and verifies payment before sending an eligible purchase event, then returns you to the order confirmation. The checkout reference is valid for up to two hours. Its session\-storage record is removed when checked after expiry, when Ads measurement is withdrawn on PMI, or when the tab session is cleared. It contains no customer contact or payment\-card details. No new tracking database is used.

## Keeping information secure and changes to this notice

PMI uses access restrictions, server\-side credentials, enquiry validation, abuse controls and data\-minimisation controls appropriate to the current implementation. No internet service is completely secure. Direct website attachment intake and downloads are unavailable. Do not email files containing unnecessary personal information or access credentials.

We will update this notice when the live processing or providers change. Material changes will be identified by the updated date. Contact PMI before sending information if you need to understand the current handling for a particular enquiry.
