This notice explains how Aaron Creaney trading as Precision Machine Industries, a sole trader, handles personal information. Precision Machine Industries is the controller for the information described here.

Who we are and how to contact us

Aaron Creaney trading as Precision Machine Industries, VAT registration number 456069474. Business address: 128 Lakelands, Craigavon, Co. Armagh, Northern Ireland, BT64 1AW. This is not advertised as a customer drop-in premises; visits are by prior arrangement only.

Normal contact hours are Monday to Friday, 08:00–16:30 UK local time. Out-of-hours urgent breakdown assistance is subject to availability and is not a 24-hour service.

Information we collect

When you contact PMI, we may receive your name, company, email address, telephone number, preferred contact method, site location and country, together with the machine, component, fault, project, timing and other information you choose to provide. A product enquiry can include a product identifier, brand, part number and requested quantity.

Website enquiry submissions and attachment uploads are not currently available; please contact PMI by email or telephone. If website attachment intake is enabled after its security checks, an enquiry may include up to three JPEG, PNG, WebP, HEIC/HEIF or PDF files of no more than 3 MiB each. Do not send passwords, licence keys, remote-access credentials, unnecessary finance files, special-category information or other information that is not needed for the enquiry.

For an order or quotation, we may also need billing and delivery details, order and payment status, products, prices, tax, delivery, returns and warranty records, and communications about the transaction. Card details are handled by the enabled payment/checkout provider and are not intended to be stored in PMI's editorial content system.

The website and hosting service may process technical request information needed to deliver and protect the service, such as date and time, requested page, browser/device information and network identifiers. The enquiry service derives a keyed hash from the client network address for rate limiting; it is not displayed as the original address in the staff enquiry record.

Why we use personal information

We use enquiry and contact information to assess and respond to a request, prepare a quotation, take steps requested before a contract, and perform an agreed contract. The usual lawful basis is that the processing is necessary to take steps at your request or perform a contract. Where a contact acts for a company, we may also rely on our legitimate interests in communicating with that organisation and administering genuine business enquiries.

We use transaction, tax, safety, product and dispute records where necessary to meet legal obligations and to establish, exercise or defend legal claims. We use proportionate technical logs, access controls and abuse-prevention records for our legitimate interests in securing the website, preventing misuse and maintaining reliable services.

PMI does not currently operate a marketing newsletter through this website. If email marketing is introduced, it will use a separate optional unticked opt-in and will automatically enrol only contacts who actively choose it. Every marketing email will provide an unsubscribe route, and service and order communications will remain separate. An ordinary enquiry or order is not marketing consent. We do not use enquiry or order information for solely automated decisions with legal or similarly significant effects.

Service providers and disclosures

PMI uses Vercel to host the website, Sanity to provide public editorial content, BigCommerce for the selected product catalogue and any enabled hosted checkout, and Google Workspace for business email. Confidential customer enquiry and order information must not be entered into Sanity. A checkout provider may collect information under its own notices when you leave PMI for an enabled hosted checkout.

The planned private enquiry and staff-inbox service uses a separately controlled Supabase project, but live Supabase enquiry and attachment acceptance is still pending. Resend notification sending is held and is not active. Before either service processes live information, PMI will verify the configured entity, region, contract, subprocessors, retention and transfer safeguards and update this notice if needed.

We may disclose information to professional advisers, insurers, payment and delivery providers, specialist subcontractors, regulators or law-enforcement bodies where necessary and lawful. We do not sell personal information. We share only what is needed for the relevant purpose.

International transfers

Our business email and website technology providers can process information outside the United Kingdom and European Economic Area, including in the United States. Google Workspace's published data-processing terms provide for international processing and use of applicable adequacy arrangements or standard contractual clauses for restricted transfers. The applicable mechanism depends on the provider, destination and service. You may contact PMI for details of the countries and safeguards relevant to your information and how to obtain a copy. We do not promise that all information stays in the United Kingdom. Any new customer-data service will be checked for appropriate contractual and transfer safeguards before activation.

Customers and contacts in the Republic of Ireland may also have rights under EU data-protection law where it applies. Nothing in this notice limits a right that applies under mandatory data-protection law.

How long we keep information

We normally keep an unsuccessful enquiry or quotation for 24 months after it closes. We normally keep necessary order, invoice and job records for 6 years after the latest relevant tax-year end, final accounting entry or job completion. A longer legal requirement or a justified hold for a warranty, safety issue, dispute, fraud investigation or legal claim takes precedence while needed.

Routine enquiry attachments are normally deleted 6 months after the enquiry closes unless they are needed as contract, warranty or dispute evidence. Routine security logs are normally kept for 90 days. Minimal records needed to document a privacy request and PMI's response are normally kept for 3 years after resolution. PMI will review retention monthly and delete or anonymise information when no longer needed.

These periods apply to relevant information already received by email or telephone as well as information collected through any subsequently enabled website services. Aaron is responsible for the monthly review. Information is deleted or anonymised when it is no longer needed, unless a longer legal requirement or justified hold applies. Production enquiry attachments and downloads remain held; no automated deletion facility is claimed to be active. Provider-controlled security logs and backups may follow different retention cycles, so deletion from active records does not promise immediate erasure from every backup.

Your data-protection rights

Depending on the circumstances, you may ask for access to your personal information, correction, deletion, restriction, objection or portability. You have an absolute right to object to direct marketing. Where processing relies on consent, you may withdraw it without affecting earlier lawful processing. Email pmi-enquiries@precisionmachineindustries.com with enough information to identify the request; PMI may need to verify identity and authority before disclosing or changing information.

Rights are not absolute and can depend on the lawful basis, legal duties and the information involved. PMI will explain if a request cannot be fulfilled in full. You may complain to the UK Information Commissioner's Office at ico.org.uk. If EU data-protection law applies, you may also have the right to complain to the supervisory authority where you live or work, including Ireland's Data Protection Commission at dataprotection.ie.

Cookies and local browser storage

The public website does not currently include advertising or analytics cookies. Cart selections are stored in local browser storage so they can remain on the same browser. When you choose Continue to checkout, the product and variant identifiers and quantities in the cart are sent to PMI's cart service for validation and creation of a secure hosted checkout. You can remove cart entries or clear site data in your browser.

Protected preview and staff/editor functions can use strictly necessary authentication and preview cookies. An enabled BigCommerce checkout operates on its hosted service and may use cookies described in its own notice. If PMI adds non-essential analytics, advertising or similar technology, it will review consent requirements and update the public information before activation.

Keeping information secure and changes to this notice

PMI uses access restrictions, server-side credentials, private staff routes and data-minimisation controls appropriate to the current implementation. No internet service is completely secure. Production attachment intake and downloads remain held until the approved scanning, release, backup and recovery controls pass hosted acceptance.

We will update this notice when the live processing or providers change. Material changes will be identified by the updated date. Contact PMI before sending information if you need to understand the current handling for a particular enquiry.
